Event administration This guide reviews event setup from the administrator side, using a demonstration organization and sample records. We will inspect an existing event without publishing changes or sending reminders. Open Events under Programs. The desk separates current and upcoming events, items needing attention, and past events. Choose All events to include the older sample records used in this recording. 1. Open the event record Find Annual Leadership Summit and choose Edit event. Confirm the title before reviewing its details. The editor separates the full event record from the inventory, with links back to events, the event page and sales. Title, slug, summary and description are separate fields. Review these together so the short listing and detailed description describe the same event. This recording leaves their existing values unchanged. 2. Check schedule and responsibility The schedule records start and end times alongside an explicit time zone. Check all three before publishing; the displayed times belong to that zone. Status can be draft, published or cancelled. Location type supports in-person, virtual and hybrid events. The organizer can be the association or a chapter. Participating chapters are recorded separately; participation alone does not grant event management access. 3. Review presentation and visibility The presentation section provides an event image and alternative text, or the global default image. A separate control determines whether the event is listed on the public events index. Review publication status and index visibility together. These are distinct settings, and the interface identifies restricted controls. We are inspecting the current published example without changing its visibility. 4. Inspect the program The agenda supports one program track or a second track for concurrent sessions. This example has Main stage and Chapter lab, with session titles and time ranges visible in each track. Expand a session to inspect its details, or use Add session under the intended track. Check the track and timing before saving changes. Events can also exist without an agenda. 5. Review speaker records The speaker directory contains public profiles that can be reused across sessions. It distinguishes an existing association person from a guest speaker, with controls to add either kind. A guest speaker profile does not create a member account or membership. This keeps event participation separate from membership administration, while allowing a program to include outside speakers. 6. Inspect online access For an online or hybrid event, the administrator can store an external meeting link and configure when the protected join page opens and closes. Ticket holders use that page during the access window. The meeting link is excluded from public pages and calendar files. Review attendee instructions, access times and the event time zone together. Saving online access is separate from saving the event record. Review before making changes The section also provides a join-page preview, calendar download and reminder status. In this local example, reminder sending is disabled until the installation has an email sender marked ready; no reminder was sent. We have reviewed event details, timing, visibility, agenda, speakers and online access. Return to the event desk when finished. Ticket sales and check-in are separate workspaces, available from the event card.
