Event administration ยท Part 2 This second event guide starts in the administrator workspace and covers document uploads, approved reading text, and availability after the event. The screens use a demonstration organization and synthetic records. The event desk provides links to edit an event and manage its tickets. Select the intended event before adding materials, because each event has its own documents, reading text and access settings. 1. Open reading materials In the event editor, confirm the event title. Reading materials opens the protected material page. The event page, sales workspace and event inventory remain separate links. Existing event administrators manage these materials. Attendees must sign in and hold a current, non-revoked ticket for this event. Public visibility alone does not provide document access. 2. Upload an original document Choose the original file you want to share, then select Upload document. This demonstration uploads a small text document containing seminar preparation notes. The file limit is fifty megabytes, with two hundred and fifty megabytes shared across the event. PDFs, Word documents and other files are provided as downloads. Uploading a file does not send its contents to the AI assistant. 3. Review the saved download The saved document appears with its filename, size and download link. Ticket holders use this link to download the original file. Remove document closes access to that download and requests deletion from storage. An unsuccessful deletion remains queued for retry. Copies already downloaded by attendees remain with those recipients. 4. Supply approved AI text To make material available for AI questions, separately enter an approved reading title and paste the relevant text. You can choose passages from a document or provide a summary with the original title and page or section references. Titles and reading text share a sixty thousand character allowance across the event. There is no eight-reading limit or separate twelve thousand character limit per reading. The application does not silently truncate text or automatically extract uploaded files. 5. Control AI questions AI questions start off for each event. The organizer controls this switch, and the installation also needs a configured Amazon Bedrock connection. This local recording does not submit an AI question. The assistant uses the separately approved text, and its answers must quote matching source excerpts. Those checks do not guarantee a correct explanation. Questions are not sent to speakers. 6. Review the availability date By default, materials remain available until seven days after the event ends. The page shows the exact expiry date and the event time zone. Downloads and AI reading access close when that time arrives. The hourly hosted cleanup removes stored files and reading text, retrying failed file deletions. Backups and provider-side retention follow the installation settings. 7. Save a longer availability period Before expiry, an organizer can choose thirty or ninety days and save availability. In this example, selecting thirty days updates the displayed date. Changing the event end date also changes the calculated expiry.
