Chapter officer readiness and dated terms
Chapter administration records dated officer assignments and reports readiness for president, vice president, treasurer, and secretary.
Current readiness baseline
The current product baseline treats president, vice president, treasurer, and secretary as essential chapter positions. This is an application readiness rule, not a legal or bylaw determination. An association's governing documents may define different positions or requirements.
The membership chair is also recorded and displayed, but it does not determine the chapter readiness result.
Readiness states
Each assignment has an assignee, start date, and end date. The readiness service compares those records with the current date in the client's configured time zone.
- Ready: all four essential positions have active assignments outside the 60-day expiry window.
- Due soon: at least one essential assignment ends within 60 days and none require immediate action.
- Action required: at least one essential assignment is unassigned, upcoming, expired, or linked to an inactive person.
Officer term administration
Chapter leadership assignments are edited on the chapter record. The assignee must be selected with a start date and end date, and the end date cannot precede the start date.
When an assignment's end date passes, it no longer grants current role access.
Operational notices
An administrator can select chapters and leadership roles as the audience for a plain-text transactional notice. Recipients must be active people with current or expiring assignments. A person holding more than one selected role receives one message.
The system stores the notice, its audience, and each delivery attempt. Notice data is included in the portable administrative export. Sending controls remain unavailable until transactional email is configured for the client deployment.
