Protected access for online events

External meeting settings

An event administrator can configure online access for a virtual or hybrid event. The settings store the meeting service label, HTTPS meeting link, attendee instructions, and the times when the join page opens and closes.

The meeting can be hosted by Zoom, Microsoft Teams, Google Meet, or another external service. This release does not embed video, recording, transcription, or screen sharing in Military OS.

Ticket-based access

The public event page and calendar file do not contain the meeting link. A signed-in member can use a ticket linked to their member record. A guest ticket holder can use the signed personal link included in an access reminder.

The join button is available only during the configured access window. Pressing it records the ticket join and redirects the attendee to the external meeting service. Opening the join page without pressing the button does not record attendance.

Calendar files, reminders, and attendance

Ticket holders can download a calendar file from the public event page or the protected join page. The file contains the public event URL rather than the protected meeting link.

An event administrator can send access reminders through the association's configured email sender. Military OS stores a sent or failed delivery record for each ticket. The event editor also shows the number of ticket holders who opened the meeting and the latest reminder attempt.

Free and paid tickets

Online access uses the same ticket records for free and paid registrations. A zero-value registration issues the ticket without opening a payment-provider checkout. Paid registration continues through the configured payment provider before the ticket is issued.
