Event readings and optional AI questions

Reading materials for event attendees

Military OS supports document downloads within association and chapter events. Organisers can upload full files, including PDFs and Word documents, up to 50 MB each and 250 MB across an event. Signed-in attendees with a current ticket for that event can download them.

Uploaded files are not sent to AI. Organisers separately paste the text they approve for AI questions. Reading titles and text share a 60,000-character allowance across the event, regardless of the original document format. There is no eight-reading limit or separate 12,000-character limit per reading.

Questions with source excerpts

An optional AI assistant uses the event's reading materials to answer questions. Answers include quoted excerpts linked to the stored readings. The application checks that each quoted passage exists in the supplied text.

These checks confirm the source of a quotation; they do not guarantee that the AI's explanation is correct.

Off by default, controlled by organisers

AI questions are off by default for each event. Existing event administrators can turn them on or off, and changes are recorded in the activity log. Turning questions off preserves access to the readings and blocks answers still being prepared from being returned.

The assistant answers questions about the text. It does not send questions to speakers or represent their personal responses.

Expiry after the event

Materials are available until seven days after the event ends by default. Organisers can choose 30 or 90 days before expiry, and the page displays the expiry date. Access closes at that time; an hourly cleanup process deletes stored documents and AI reading text. Failed file deletions remain queued for retry.

Deletion does not remove copies attendees have downloaded. Installation backups and provider-side retention follow their own settings.

Current scope

Files are provided as downloads. Automatic document text extraction and OCR are not included. Organisers can paste selected passages or a summary for AI, including source titles and page or section references. Text is never silently truncated. The text allowance is separate from AI request limits.

AI questions also require a configured Amazon Bedrock connection. Local permission, database and browser checks have passed. Live-model answer quality and prompt-cache savings have not yet been evaluated.
